How to choose a vending machine provider: questions to ask first
Not every vending provider works the same way, and the differences usually only surface after a machine's already installed. Here's what's worth asking up front.
Is there really no cost, or is it hidden in the terms?
"Free" vending is common, but the details matter. Ask directly: is there an installation fee, a minimum sales guarantee, or a penalty for removing the machine later? A straightforward provider should be able to answer in one sentence.
What's the actual response time for a broken machine?
A jammed machine that sits broken for two weeks isn't free — it's a liability taking up floor space. Ask what the typical repair turnaround looks like, and whether that's written down anywhere or just a verbal promise.
How is restocking scheduled?
Fixed weekly stops versus demand-based restocking are two different models. High-traffic locations usually need the latter, or they'll run empty on the busiest days. Ask how the provider decides when to send a route out.
Who picks what's stocked?
- Can you request specific products or brands?
- Is there a process for swapping out items that aren't selling?
- For schools, senior living, or other regulated environments — can they stock to specific nutrition guidelines?
What happens if it's not working out?
Ask about contract length and what removal looks like if the placement isn't a fit. A provider confident in the arrangement shouldn't need a long lock-in to make the numbers work.
Can you talk to another location they service?
A provider with an established local route should be able to point to other placements nearby. That's a reasonable ask, and a reasonable provider won't hesitate to offer it.
